This policy explains how F&F Moves Limited handles information when you use this website, request an estimate, use the F&F Moves Assistant, or contact the team.

1. Who is responsible

F&F Moves Limited is responsible for information it receives through enquiries and bookings. The company number displayed on this website is 16594977.

Privacy enquiries and requests can be sent to info@ffmovesltd.com or made by calling 07385 357872. The business has not identified a Data Protection Officer on this website.

2. Information you may provide

Depending on how you use the site, you may provide:

  • collection and delivery addresses or postcodes;
  • moving date, preferred time, route and access or parking details;
  • inventory, property, packing, dismantling, reassembly, van, helper and estimated-hours information;
  • your name, telephone number, email address and additional notes if you give them to the Assistant or contact the team; and
  • the content of messages you choose to send through WhatsApp or email.

You do not need to give the Assistant contact details merely to read its responses. Please avoid entering confidential or sensitive information that is not needed for a moving enquiry.

3. Quote Robot

The Quote Robot performs its pricing calculation in your browser. It uses the route, date, time, van, helper, hours and inventory selections you enter. The website does not automatically submit the completed quote to an F&F Moves server.

A working quote draft, including selected address details and inventory quantities, is stored in your browser's sessionStorage under a first-party key so the form can restore your work during the same browser session. A quote is sent outside the page only when you deliberately follow a contact link, such as the WhatsApp button.

4. F&F Moves Assistant

The Assistant is a deterministic browser-based tool. The current website does not send Assistant conversations to an AI model or external AI API. It may identify details in what you type, such as locations, postcodes, dates, times, inventory, access information, name, telephone number or email address.

The Assistant stores its working lead details and recent messages in sessionStorage. The message history is limited in the code to the most recent 40 messages, and up to 30 are restored in the chat window. The transfer feature copies relevant Assistant details into the Quote Robot in the same browser session. Choosing Reset Conversation clears the Assistant messages, lead, transfer data and quote draft from that session storage.

5. Cookies and browser storage

The current website code does not set first-party cookies, use localStorage, or install analytics, advertising pixels, Google Analytics, Google Tag Manager or Meta/Facebook Pixel. It therefore does not display a marketing-cookie consent banner.

sessionStorage is used only to remember information you enter into the requested Quote Robot and Assistant functions. It is limited to the browser tab/session rather than designed to recognise you across websites. Browsers normally clear it when the tab or browser session ends, although restoration behaviour can vary. You can clear it sooner by resetting the conversation, closing the relevant tab, or using your browser controls.

6. Address and postcode lookups

When you type an address or postcode into the Quote Robot, the browser may send that search text to:

Those services receive the search text and ordinary connection information such as your IP address and browser details. The site uses returned coordinates to estimate straight-line road-adjusted distance and driving time in the browser. It does not currently contact OSRM.

The site contains optional Google Places integration, but the current production configuration has no Google Places API key, so the Google Maps Places script is not loaded. This policy and any consent requirements must be reviewed before that integration is enabled.

7. Contact links and third-party services

If you select a WhatsApp link, the site opens WhatsApp and may place your move or quote summary into the message field. You can review it before sending. WhatsApp receives the information only when you use its service, and its own privacy terms then apply. Telephone and email links open the relevant application on your device.

Pages also load presentation resources from Google Fonts and Tailwind's content-delivery network. These providers, the website host and network providers may receive ordinary technical request information such as IP address, browser type, requested resource, referring page, and date or time. The Google Reviews buttons are outbound links rather than an embedded reviews or tracking widget.

Third-party services operate under their own privacy notices and may process information outside the United Kingdom. F&F Moves does not control their independent retention or security practices.

8. Why information is used

Information is used to calculate an estimate, respond to an enquiry, prepare or manage a booking, plan the requested moving service, handle questions or claims, keep appropriate business records, and protect the website and business.

Where information is needed to prepare a quote or provide a requested service, the usual lawful basis is taking steps at your request before entering into a contract or performing a contract. Legal obligations may apply to some business records. Other necessary administration or security may rely on the business's legitimate interests, provided those interests are not overridden by your rights. The website does not use the information entered into these tools for behavioural advertising.

9. Retention

The browser data described above is intended to remain only for the relevant browser session and can be cleared as explained in section 5. The website itself does not define a fixed server-side retention period because it does not directly submit the Quote Robot or Assistant data to an F&F Moves database.

If you send information through WhatsApp, email, telephone, or another booking channel, it may become part of F&F Moves' enquiry, contract, accounting, insurance or claims records. The business should keep those records only for as long as reasonably necessary for the relevant purpose and any legal, tax, insurance or dispute requirements. You may contact F&F Moves to ask how long a particular record will be kept.

10. Your rights

Depending on the circumstances, UK data protection law may give you rights to ask for access to your personal information, correction, erasure, restriction, portability, or to object to certain uses. Some rights have legal conditions or exceptions.

11. Security and external links

Reasonable care should be taken with personal information, but no website, browser storage, email or messaging service can be guaranteed completely secure. Information held in your browser may be visible to someone who can access your device or browser profile. Review message content before sending it to an external service.

This website links to services and websites controlled by other organisations. F&F Moves is not responsible for their content, availability or independent privacy practices.

12. Changes to this policy

This policy should be reviewed when the website's data handling changes, including before enabling analytics, advertising technology, Google Places, new forms or new storage. Material changes will be reflected on this page with an updated date.
